Program Office/Description: 

The New York State Archives (NYSA) Archival Services bureau ensures the preservation, accessibility, and use of New York’s historically valuable records. We accomplish this by managing the State Archives facility, which houses the archival records of state government.Ìý

The Access Services department is responsible for managing access to the holdings of the State Archives as well as archival records held by selected historical records repositories statewide. This involves developing and delivering online access tools, including our online finding aids. Access Services is also responsible for arranging the legal and physical transfer of archival state government records to the State Archives facility, ensuring initial control of these records.

The Assignment (Description of Job): 

The student assistant will be directly involved in the daily operations of the State Archives’ Archival Services Unit focusing especially on accessioning, description and collections management.Ìý The incumbent will contribute to archival management projects including accessioning and describing records, rehousing records, consultation trips to the Records Center, and development of detailed finding aids.ÌýÌý

Duties will include but are not limited to the following:

• Assist with transfer and accessioning archival records into the custody of the State Archives
• Assist with the rehousing of archival records and creation of online finding aids
• Create EAD-compliant container-level access tools for addition to online finding aids
• Staff the registration desk at the State Archives Research Room
• Create box/folder lists of records previously stored off-site
• Assist with record pulls, as needed

Students pursuing a Bachelor’s Degree will earn $15/hour, and students pursuing a master’s degree will earn $18/hour.

• Gain experience in archival descriptive and cataloging practices, and systems including ArchivesSpace.
• Gain familiarity on the handling of audio-visual records.

• Understand and gain experience applying professional standards
• Gain experience working independently and hone time management skills
• Participate in transfers of records to the State ArchivesÌý
• Attend workshops and webinars on a wide range of professional archival practices

Desired Skills, Abilities, & Educational Background: 

Educational Background:
We seek a student who is pursuing a History/Public History/Information Science or other similar Masters degree.Ìý

Qualifications:
Basic level of comfort with MS Office. Interest in learning additional management systems operated by the State Archives including ArchivesSpace and Preservica.
Ability to lift 40 pounds.
Strong research skills.
Comfort level working independently and in teams, as well as with other departments.
Strong communication and writing skills.

Schedule/Hours: 

Open schedule between Monday through Friday 8:00AM to 3:30PM

Paid Internship Hourly Rates: 

Undergraduate students will be paid $15/hour and graduate students will be paid $18/hour. For all offices located in NYC or Westchester, Suffolk, or Nassau Counties, undergraduate students will be paid $16.00/hour and graduate students will be paid $19.00/hour.Ìý
